Position Summary
The Content Program Coordinator oversees the content lifecycle for Vistelar’s internal and external training materials, ensuring alignment with brand, regulatory, and strategic priorities. This role will play a key part in the initial assessment, setup, and implementation of a new Content Management System (CMS) and will manage processes for ongoing governance, review cycles, and content optimization.
This position is ideal for a dynamic, tech-savvy professional with exceptional project management and problem-solving skills who thrives on improving processes, optimizing operations, and ensuring consistent, high-quality content delivery.
KEY RESPONSIBILITIES
Content Lifecycle Management
- Oversee the assignment and management of content through triggered and scheduled review cycles.
- Manage the process to align existing content with brand standards and style guidelines.
- Coordinate client customization requests for training content.
CMS Selection, Setup, and Implementation
- Support CMS configuration, including tagging, version control, and access permissions, and assist in any remaining selection activities as needed.
- Upload and organize content in the CMS using metadata and version control.
- Manage file structures, access protocols, and content governance workflows.
Content Audit and Organization
- Conduct a comprehensive inventory of all existing content (electronic and print).
- Organize content by type, audience, and lifecycle status.
- Identify priority content for immediate review and updates.
- Track content review cycles and approval workflows
Style Guide and Brand Alignment
- Contribute to the development and maintenance of a content style guide covering brand voice, tone, formatting, and visual standards (logos, colors, typography).
- Incorporate accessibility and plain language best practices into processes and workflows.
Governance, Optimization, and Reporting
- Support the creation and maintenance of a full content governance framework, including approval workflows, archiving, and retirement protocols.
- Assist in tracking strategic alignment between training content and organizational goals, including regulatory compliance and client outcomes.
- Develop content usage and performance reports and dashboards.
- Stakeholder Engagement and Process Improvement
- Support the establishment and sustainment of a Customer Advisory Board to guide content relevance and effectiveness.
- Collaborate with subject matter experts, content designers, and training leaders to ensure accuracy and consistency across all content.
- Manage processes and workflows for content creation, review, publishing, and archiving.
REQUIRED QUALIFICATIONS
- Minimum of 3 years of successful experience in project coordination or project management with a track record of driving efficiency and innovation.
- Demonstrated ability to manage complex schedules, coordinate multiple stakeholders, and meet deadlines.
- Demonstrated proficiency with Microsoft 365 and Google Workspace.
- Strong organizational skills with attention to detail and quality control.
PREFERRED QUALIFICATIONS
- Project management certification or college degree in a relevant field (e.g., project management, education, business)
- Experience with data modeling, measuring and reporting on key performance indicators (KPIs), and enterprise-level workflow automation to evaluate and improve program outcomes

- Technical Proficiency – Applies Microsoft 365, Google Workspace, and other approved tools to execute assigned tasks with 95% accuracy and minimal rework.
- Communication – Produces clear, concise, and accurate written and verbal communications, meeting deadlines for all client- and team-facing deliverables.
